Executive Production Assistant

As an Executive Production Assistant, you will be responsible for handling correspondence directed to the Executive Producer, maintaining bid documents, and scheduling meetings. The ideal candidate offers strong project management and organizational skills, attention to detail, solution-based problem solving, and excellent time management skills.

  • Maintaining and coordinating a constantly changing calendar, including scheduling meetings and conference calls, preparation of meeting materials and related tasks
  • Composing and preparing material for the Executive Producer and the Executive Management Team
  • Preparing a daily To Do for the Executive Producer
  • Attending internal meetings as required and capture any relevant action items for the Executive Producer
  • Attend meetings on behalf of the Executive Producer and provide a comprehensive summary of the action items
  • Coordinating and Tracking bid documents
  • Preparing bid template documents & cover letters
  • Maintain bid document organization
  • Prepare client packages from internal bid documents
  • Ad hoc projects as directed

Must have:

  • A university degree (ideally with a focus in Corporate Communication or Film & Television)
  • A strong working knowledge of Microsoft Excel and Word
  • Experience working in a film or television environment is an asset
  • Problem solving skills
  • The ability to operate with confidentiality and professionalism
  • Excellent verbal and written communication skills
  • Strong interpersonal skills with the ability to build effective working relationships with all levels of an organization and with external stakeholders 
  • Experience working with Shotgun is an asset
  • A proven ability to work effectively in a fast-paced organization that is constantly changing and has multiple competing priorities 
  • Very strong organizational skills and an energetic demeanor
  • Strong attention to detail and sharp focus on keeping track of commitments and responsibilities
  • A sense of urgency and work well under pressure and time constraints
