Facilities Coordinator

As the Facilities Coordinator, you will work under the direction of the Director of Information Technology  and you will spend your days:

  • Liaising with, and managing all external trades and suppliers.
  • Obtaining multiple quotes and performing analysis for external vendors.
  • Planning and executing office seating including assembly of partitions, desks, and cabling.
  • Setting up workstations for current and new staff members.
  • Ability to lift up to 30 lbs.
  • Deploying and cabling computers, workstations, and monitors. 
  • Deliveries to remote staff.
  • Maintaining and documenting storage inventory, tools, and spare equipment.
  • Access Badges coordination between HR, Employees, and Systems teams
  • Receiving merchandise and checking delivery slips as required.
  • Assisting in the recycling of “e-waste” and packaging waste.
  • Repairing minor wall damage, replacing light bulbs, troubleshooting appliances.
  • Managing the cleaning, repairs, and maintenance of company vehicle(s).
  • Coordinating vehicle inspections and required paperwork.
  • Plan and coordinate all installations (technology/workspace setups) and refurbishments.
  • Manage the upkeep of equipment and studio supplies.
  • Supervise external contractors when required.
  • Control building security pass distribution.
  • Maintain equipment inventory and other assets
  • Assistance writing new and maintaining current SOP’s
  • Provide assistance to the IT team as needed.

You must:

  • Proven experience as a facilities manager/coordinator or relevant position.
  • Well-versed in general repairs and maintenance for a residential or commercial setting.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills.
  • Good analytical/critical thinking.
  • Strong ability to multitask.
  • Strong attention to detail.
  • Self-starter with a proven ability to work without direct supervision.
  • Valid current driver’s license.
